HRMS migration checklist: moving from spreadsheets or another system
To migrate to a new HRMS, export your data to CSV or Excel, clean and standardise it, import it in dependency order — org structure, leave types, then employees — verify against the source, and run payroll in parallel once before cutting over.
1. Decide what to move
Move the current state of every employee: personal, employment, bank and statutory details, reporting lines and leave balances. For payroll, bring the year-to-date earnings and tax deducted so that TDS for the rest of the year is computed correctly. Historical payslips can usually stay in an archive.
2. Clean the data first
- One record per person — remove duplicates and old rehires.
- Consistent department, designation and location names.
- Valid PAN, UAN, ESIC and bank account numbers.
- Reporting managers who exist as employees.
- Dates in one format, and a joining date for everyone.
3. Import in dependency order
- Companies, departments, designations and locations.
- Leave types and holiday calendars.
- Employees, with managers set after everyone exists.
- Opening leave balances.
- Salary structures and each employee’s compensation.
Import a small batch first and read the error report before importing the rest. A good import tool tells you which rows failed and why, rather than failing the whole file.
4. Verify
Compare headcount by department and location with the source, spot-check a sample of employees against their old records, and confirm every leave balance on a sample.
5. Run payroll in parallel
Run one payroll in the new system alongside the old one before cutting over, and reconcile the differences line by line. Differences usually trace back to a salary-structure formula, an opening balance or a statutory number — all easier to fix before real money moves.
6. Cut over and communicate
Tell employees what changes — where payslips, leave and attendance now live — and make sure each has a login. Keep the old system read-only for the rest of the financial year for reference.
Frequently asked questions
How long does an HRMS migration take?
It depends on data quality and scope. Teams with clean data and a staged import can be live within weeks; the usual delays are data cleanup and reconciling the first payroll.
What data should I migrate?
Current employee records, reporting lines, leave balances, salary structures and, for payroll, year-to-date earnings and tax. Historical payslips can usually be archived instead.
Should I run payroll in parallel?
Yes, once, before cutting over. Reconciling the two runs line by line surfaces formula and opening-balance differences before they affect real payments.
